The Mexican Musician as a Micro-Business: What Nobody Teaches

Music school teaches you to play. Nobody teaches you to quote, to hold a date or what to do when the client cancels three days before. That is where more money is lost than on stage.

A musician who plays events is, in practice, a micro-business of one or fifteen people. They invoice, negotiate, manage a calendar, collect deposits, handle cancellations and do their own promotion. None of that is taught at any music school in the country.

The result is predictable: people who play very well and charge very poorly, not for lack of talent but for lack of basic administrative tools. What follows is not business theory, it is what separates those who make a living from this from those who try and get worn out.

Quoting is not just saying a number

A quote that works has five things, and almost no WhatsApp quote has them:

  • What it includes exactly. How many members, how many songs or how many minutes.
  • What it does not include. Travel outside the city, overtime, meals.
  • How much overtime costs. Defined beforehand, not negotiated at two in the morning.
  • How much the deposit is. The norm runs from 30% to 50%.
  • Until when that price is valid. A quote with no expiration turns into a problem three months later.

Writing it once and reusing it changes the whole conversation. The client stops comparing loose numbers and starts comparing proposals. The contract does not have to be complicated, it has to exist

The resistance to putting anything in writing almost always comes from thinking that a contract is a lawyer's document. It is not. What matters is not the format, it is that both parties confirm it in writing before the deposit.

The date is not held until there is a deposit

It is the rule that costs the most to learn. A message saying "yes, count on us" holds nothing, and the day two clients show up for the same date, someone is left without a musician and someone is left without work.

The deposit is not distrust: it is what turns an intention into a commitment. And it works both ways, because it also commits the musician not to accept a better-paid second date that shows up later.

The cancellation policy, in writing and beforehand

Cancellations exist and will keep existing. What can be decided in advance is what happens when they occur. A simple policy, stated from the start, avoids most conflicts:

  • With more than 30 days, the full deposit is returned or the date is rescheduled.
  • Between 30 and 7 days, part of it is retained.
  • With fewer than 7 days, there is no refund, because that date was already turned down for others.

Invoicing opens doors you cannot see

A musician who cannot invoice is shut out of the entire corporate market: hotels, companies, government offices, event agencies. That market pays more, pays on time and repeats.

You do not defend a price by explaining, you defend it by showing

When a client says it is expensive, the response that does not work is justifying. The one that does is breaking it down: how many people, how many hours, what equipment, what travel. A broken-down price stops being an opinion and becomes a calculation. And a calculation is argued differently.

There is one real exception where it does pay to adjust: a last-minute weekday gap, in low season, when the alternative is not working that date. There, lowering the price once does not break the business. What does break it is lowering it as a habit for clients who knew the date months in advance: that client asks for the same discount next time, and the list rate stops meaning anything.

None of the above has to do with playing better. It has to do with the trade ceasing to depend on goodwill and starting to work the way businesses work: with clear conditions, stated beforehand, the same for everyone.
