Who provides what?

It is wise to make clear from the start what falls to you and what falls to the musician, so there is no confusion on the day of the event.

  • The musician: the musical performance you hired, with the repertoire and duration you confirmed in the booking.
  • You: the drinks, the glasses, a place to leave them ready and someone to serve them at the right moment.
  • The guest of honor: just enjoy.

Ask the musician whether they like being offered something to drink during the performance or prefer to receive it when they finish. Do not assume anything and confirm it before the event.

How to coordinate the order of the moment

Before the group arrives

Have the glasses and the drink ready, without the person seeing them if it is a surprise. Choose who will serve and who will record. Decide together where the group will stand, so everyone can see without being in the way.

During the serenade

Let the first songs play without interruptions. It is the moment of emotion. If you plan to give a short speech, ask the musician to pause after the third song or to let you know when they are about to finish, so the toast comes in at just the right moment.

After the toast

If you want to close with one last song, tell the musician ahead of time. A closing with a toast and one more farewell song is a very moving combination. Confirm whether that extra song is included in the rate or carries an additional cost.

You pay 100% when you book and the money is held in escrow. It is released to the musician at the event, when you scan their QR code before they play. If they do not show up, the payment is not released. On top of the rate a 10% service fee is paid (minimum MX$200); the musician receives 100% of their rate. Mistakes worth avoiding

The most common is making the toast too long: when the speech drags on, the emotion drops and the musician is left waiting without knowing what to do. Better a short, sincere phrase. The second mistake is not having the glasses ready: nothing breaks the mood more than looking for glasses in the kitchen while the group waits. And the third is not telling the musician there will be a toast: a simple mention when booking lets them organize their performance and leave a natural space for that moment.

A complete scene in four steps

The group arrives and plays the first song; second and third songs with the family gathered; a pause for the toast with a brief phrase; a final closing song with everyone singing.
