Which Music Format Fits Each Moment of the Event?

A posada (holiday party), a year-end dinner, an anniversary or a product launch have three moments with different needs, and the most common mistake is hiring a single format to cover all three.

  • Reception or cocktail hour (60 to 90 minutes): background music that allows conversation is best: saxophonist, jazz duo, violinist, string quartet or acoustic guitar. The guest arrives, says hello and networks without shouting.
  • Dinner or lunch: romantic trio, small-format jazz or marimba. Medium volume, familiar repertoire, no emcee.
  • Closing or dancing: this is where the cover band, the DJ, the norteño group or the banda come in. It is the most expensive block and the one people remember.
  • Symbolic moment: if the event falls in September or has a patriotic toast, a mariachi of 6 to 8 musicians for one hour handles the Grito and the rancheras everyone sings.

The DJ has the widest range because the Index separates a basic service (MX$3,000 to MX$8,000) from a professional one (MX$15,000 to MX$25,000) and a premium one that reaches MX$70,000; in Mexico City and the State of Mexico the usual for a full event is MX$20,000 to MX$40,000. And the cover band is the highest ticket in the market because it includes audio, lighting, an emcee and a break DJ: at large events in Mexico City it reaches MX$60,000.

How Much Does the Price Change in September and December?

September is the date with a documented markup. According to the Serenattia Index, on the night of September 15 and 16 mariachi rises between 30% and 100%: in Mexico City it reaches up to MX$10,000 per hour, in Guadalajara it runs MX$3,500 to MX$7,000, in Monterrey MX$4,000 to MX$8,000 and in Querétaro MX$4,000 to MX$7,500. The cause is calendar scarcity: the date cannot be moved to another weekend and every group saturates on the same night. For December the Index does not document a percentage markup, and we are not going to invent one here. What it does document is that the calendar of company posadas, from October to December, runs out as November advances, and that norteño, DJ and cover band are the standard formats of that season. In addition, December 12 concentrates a massive demand for mañanitas across the country, so if your posada falls nearby you compete for the same mariachis. What Should You Ask for in a Musician's Quote for Your Company?

A corporate quote differs from a family one in three things: invoice, timing and setup. Ask for this in writing before confirming:

  • Invoice: ask from the first message whether the musician issues a CFDI (Mexican tax invoice) and whether the price already includes IVA (VAT). Not all musicians invoice, and discovering it after the event is the most frequent problem for administrative departments.
  • Exact timing: arrival time, start time, duration of each block and breaks. A cover band can include a break covered by a DJ; a one-hour mariachi is usually one continuous hour.
  • Setup and sound check: how much time they need beforehand, who provides the audio (the venue, the company or the musician) and whether the price changes when the musician brings his own equipment.
  • Real number of members: "mariachi" can mean 6 or 12 musicians, and the price goes from the MX$2,000 to MX$4,500 per hour range to the MX$6,000 to MX$8,000 one. Have the number written down.
  • Travel and expenses: if the event is at a hacienda, a hotel outside the city or an industrial park, ask whether travel is included.
  • Repertoire and attire: send ahead the songs that cannot be missing and the ones you do not want, and confirm formal attire if the event calls for it.
  • Cancellation and weather: what happens if the company changes the date, and what plan B there is if the event is outdoors.
