Music Checklist for Your Company Posada 2026: Lock It In Before September 15

A guide for Human Resources: which music format to choose for the year-end posada, how much to budget (MX$10,000 to MX$50,000 depending on size), what to get in writing and why to book before September 15.

If your company holds a posada (holiday party) in December, the music gets booked in September, not November. A realistic budget runs from MX$10,000 to MX$50,000 depending on the number of employees, and whoever gets quotes in November pays between 20% and 40% more for fewer options. December is the busiest month of the year for musicians in Mexico, without exception.

At serenattia we work with Human Resources teams that have been organizing the posada for years, and the pattern repeats: the budget is approved in October, quotes are gathered in November and by then the best groups already have their December Fridays booked. This is the list so you do not arrive late.

Step 1: set the date before anything else

It sounds obvious and it is where everything gets stuck. Without a confirmed date you cannot reserve a musician, and December Fridays are the scarcest resource on the events calendar in Mexico. In 2026 the December Fridays are the 4th, the 11th and the 18th, and that last one already competes with family posadas. If your company can move the posada to a Thursday or even a Wednesday, availability improves noticeably and so does the price.

The second piece of information you need before getting quotes: the approximate number of attendees. Not the number of employees, but how many will really come, counting guests if applicable. That number defines the format and the audio equipment, and getting quotes with the wrong figure forces you to requote everything later.

Step 2: choose the format according to the type of posada

Not all company posadas are after the same thing. A year-end lunch at a restaurant with 40 people needs something discreet that lets people talk. A posada of 150 people in a hall with dancing needs a format that keeps the dance floor going for three hours. And a posada with an awards ceremony needs someone who can also turn the volume down during the speeches.

FormatRange in MXNFits best at
Trio or soloist (violin, sax, guitar)MX$2,500 to MX$8,000Lunches for 20 to 50 people, conversation ambiance
Mariachi per hourMX$2,000 to MX$4,500Traditional moment, toast, opening of the posada
Corporate DJMX$5,000 to MX$15,000Posadas with dancing, tight budget, any size
Norteño group or bandaMX$8,000 to MX$25,000Posadas of 100 to 200 people with lots of dancing
Versatile groupMX$15,000 to MX$45,000Large posadas that need to cover several genres
Audio and lighting (if the venue does not include it)MX$6,000 to MX$15,000Halls and gardens with no equipment of their own

The most frequent combination at mid-sized posadas is a mariachi for the first hour, covering the toast and the traditional moment, and a DJ for the rest of the night. It comes out quite a bit better than hiring a mariachi four hours straight and works better for the atmosphere. If you want the full picture of formats and seasonal budgets, see the guide to music for company posadas and year-end parties.

Step 3: build the budget with the three real line items

The classic budgeting mistake is to consider only the group's rate. There are three line items: the music itself, the audio and lighting if the venue does not include it (MX$6,000 to MX$15,000), and the extras that appear later, such as an additional hour, travel outside the city or a late-night rate after a certain hour.

As a quick reference: a posada of 50 people with a DJ and one hour of mariachi comes to between MX$10,000 and MX$20,000. One of 100 to 150 people with a versatile group and the hall's own audio comes to between MX$20,000 and MX$35,000. One of 200 people with full production runs MX$35,000 to MX$50,000 or more. Always leave a 10% margin for what you did not see coming.

Step 4: vet the provider before sending payment

Purchasing departments usually ask for an invoice, and that filters out part of the risk, but not all of it. Before authorizing the deposit, confirm: that the name of the person receiving the payment matches the provider's, that there are verifiable reviews from previous events, that they can invoice if your company requires it and that they give you in writing the arrival time, duration, number of sets and cancellation policy.

December also concentrates fraud attempts, precisely because many companies are getting quotes in a hurry with an approved budget. It is worth reading how to avoid fraud when hiring musicians in Mexico before sending any transfer, especially if it is the first time you are working with that provider.

Step 5: coordinate the day's logistics

A week before the posada, confirm in writing with the group: arrival time for setup (normally 60 to 90 minutes ahead), who receives them at the venue, where they park and unload, whether there is food for the musicians, at exactly what moment they start and at what moment they stop for speeches or the gift exchange. That last point is the one most often forgotten and the one that causes the most discomfort when someone has to shout over the music.

If your company holds a raffle or hands out awards, tell the group in advance and define who has the microphone at that moment. Groups with corporate experience handle this without being asked, but it is better not to assume it.

The short checklist

Confirmed date and real number of attendees. Format chosen according to size and type of posada. Quotes from at least three providers with verifiable reviews. Budget with the three line items and a 10% margin. Confirmation of whether the venue includes audio and lighting. Contract or written message with time, duration, amount, deposit and cancellation. Invoicing details validated. Repertoire and key moments sent a week ahead. Setup logistics confirmed.

Why close your posada with serenattia

For Human Resources, the problem with hiring music is not the price, it is the risk: a group that does not show up, a provider that does not invoice or a band that does not fit the company's profile. On serenattia the musicians are verified, with real reviews from previous events and prices visible from the first contact, so you can compare three options in an afternoon and take real numbers to your budget meeting instead of estimates.

Frequently asked questions

How much does music for a company posada cost in 2026?

It depends on size. A posada of 50 people with a DJ and one hour of mariachi comes to between MX$10,000 and MX$20,000. One of 100 to 150 people with a versatile group comes to between MX$20,000 and MX$35,000, and one of 200 people with full production runs MX$35,000 to MX$50,000 or more.

Why do you need to hire before September 15?

Because December is the busiest month of the year for musicians in Mexico and Fridays are booked first. Getting quotes in November usually means 20% to 40% more cost and far fewer options available, especially for versatile groups and bandas for large posadas.

Is it better to hire a DJ or a live group for the posada?

The DJ, at MX$5,000 to MX$15,000, is the most flexible and economical option and covers any posada size well. The live group, at MX$15,000 to MX$45,000, has much more impact and works best when the posada is the company's event of the year. The combination of a mariachi for the first hour plus a DJ for the rest is the most requested middle ground.

What should I ask the provider to put in writing?

Arrival time for setup, start and end time of the service, number and length of sets, total amount, deposit amount, invoicing details, cancellation policy, overtime cost and what sound equipment is included. With that covered, most problems on the day of the event disappear.
